IlmFlow is all-in-one madrasa management software for Islamic schools and supplementary (weekend/evening) madrasahs in the UK. It runs attendance, student records, Hifz & Quran tracking, exams, fees and staff payroll from one platform, with parent and teacher portals.
Yes. It has a dedicated Hifz tracker (Sabak, Sabak Para and Dhor), Juz-30 memorisation and dua progress per student, and a recitation log, alongside standard maktab classes.
Three things you can check. Hifz is tracked the way it is taught, with Sabak, Sabak Para and Dhor logged daily per student rather than one progress field. It runs UK staff payroll (PAYE, National Insurance, pensions, payslips, P60s): we checked the published feature list of every UK madrasah platform we could find and not one of them offers payroll, so search any competitor’s site for the word "payslip" and see for yourself. And parent fee payments go straight into your own bank through your own Stripe account, so we never hold your fee income. Our own price is published too: 25p per active student a month, £15 minimum, every feature included, no add-ons.
Yes. IlmFlow is web-based, so it works for madrasas anywhere in the UK, London, Birmingham, Bradford, Leicester, Manchester, Blackburn, Luton and beyond, on any device.
Under an hour. Send us your student list in any spreadsheet and we import it in bulk for you, so you can take your first register the same day.
Barely any. Teachers get their own simple portal showing only their own classes. Taking the register is a few taps, and recording Quran or Hifz progress is a couple more.
All of them, and none is wrong. The word is transliterated from Arabic, so UK schools write it as madrasah, madrasa, madrassa or madressa depending on the community, and you will also see maktab, mosque school and Islamic supplementary school for the same thing. IlmFlow is built for all of them, whether you run an evening maktab, a weekend Islamic school or a full Hifz class.
IlmFlow does the payroll, not the filing. It works out PAYE tax and National Insurance from each staff member’s tax code, handles pensions and student & postgraduate loans, and produces payslips, P60s and P45s. It does not send anything to HMRC for you: you or your accountant still make the Real Time Information (RTI) submission, exactly as you do now. Filing from inside IlmFlow is on the roadmap, and we would rather you knew that before a demo than after one.
Yes. Parents get their own portal to follow attendance, grades, Hifz progress and fees, and to report an absence, from any phone. They are invited automatically by email when you enrol a child. The portal is available in English, Arabic and Urdu.
Yes. Everything runs in the browser on any phone, tablet or computer, and parents and teachers mostly use it on their phones. Native mobile apps are on the roadmap.
25p per active student per month, with a £15/month minimum, no tiers and no feature gates. Billed monthly only, recalculated on your actual student count each month, so there is no charge for students who have left. 30-day free trial, no card required.
Yes, 30 days, and no card is required to start. We also set you up personally during the trial, so you are judging the real thing with your own students in it rather than a demo account.
Yes, and the money never touches us. Your madrasah connects its own Stripe account (Stripe is the card company that moves the money), and a parent’s card payment goes straight into your madrasah’s own bank account. IlmFlow never holds your fee income and could not take it. Whatever card rate you agree with Stripe is what you pay, and we add nothing on top. Cash and bank transfer carry on exactly as before, so parents who prefer to pay in cash still can.
No. IlmFlow is not VAT registered, so the price you see is the price you pay. 25p per active student a month, £15 a month minimum, and nothing added on top. A madrasah with 180 students pays £45 a month, which is £540 for the year.
No. Billing is monthly and you can cancel any time. We deliberately do not offer annual prepayment, because a year paid up front locks in a student count that drifts as children join and leave.
Yes. IlmFlow is built to be GDPR-friendly, each madrasah’s data is kept private to that madrasah and hosted in the UK, and you can request a full export of your data at any time.
A few madrasahs are live on IlmFlow now and we are onboarding more. We are not naming them on the website, because that is their decision and not ours, and you will not find invented customer numbers, borrowed logos or made-up reviews anywhere on this site. What we can show you is the product itself, with your own students in it during the free trial.
A fair question to ask any small supplier, so here is the plain answer. Your fee income never runs through us, it goes into your own bank, so it is unaffected either way. You can export everything you hold in IlmFlow, every student, register mark, exam result and fee record, at any time, without asking us first. And if IlmFlow ever had to close, you would get at least 90 days’ notice, with exports working for the whole of that period. We would rather tell you this now than have you find out later that we had never thought about it.
